Academic Assistant – Day Program
(BUA & Fairfield Day Only)

Job Description

The goal of SIG is to provide an exceptional three week experience by creating a community of student learners who share common interests, abilities, and goals. It is the team’s responsibility to promote a safe environment for students to grow intellectually, socially, and emotionally.

The Academic Assistant is required to be at the assigned campus site Monday-Friday from the hours of 8:00 a.m. – 4:30 p.m. while the program is in session and may be asked to assist with extended care as needed. It is the responsibility of the Academic Assistant to provide administrative and operational support to the academic components of the program.


  • Enrolled in an undergraduate or graduate program (Education major or comparable program, preferred). Recent graduates from an undergraduate or graduate program also considered.
  • Work experience in office administration and administrative procedures.
  • Experience and/or educational training in an academic environment.
  • Comfortable using Microsoft Office (Word, Excel, PowerPoint).
  • Ability to prioritize, organize, and complete tasks in a self-directed environment.


The Academic Assistant reports to the Academic Dean. The Academic Assistant does not supervise staff.

Pre-Program Responsibilities

  1. Completes all pre-campus trainings including webinars and reads provided manuals.

Program Responsibilities

  1. Adheres to policies and procedures as outlined in the SIG Employee Manual, SIG Day Program Administrator’s Manual, and the SIG Code of Professional Conduct.
  2. Provides overall administrative and operational support to the Academic Dean, as well as to the overall academic program for students and staff members.
  3. Aids in the set-up of the SIG office on campus with the Director, Academic Dean, Office Manager, and Nurse (if applicable); Reviews academic supply inventory, in relation to budget and Instructor requests.
  4. Sets-up, attends, and participates in the staff orientation prior to the beginning of the session.
  5. Assists the Academic Dean in planning and facilitating the Instructor orientation workshop.
  6. Assists with the coordination and implementation of parent orientation and student registration prior to the start of the program and on the opening day of the program.
  7. Greets and directs visitors to the program, answers telephone calls, email communication, and provides general administrative support to the Director, Academic Dean, Instructors, students, parents and administrative office.
  8. Makes approved schedule changes for students and maintains current class lists and course transfer information, as directed by the Academic Dean.
  9. Assists with bookkeeping and financial records for academic program budget, in conjunction with the Academic Dean, Director, and/or Office Manager.
  10. Manages the inventory of the academic supplies for the program. Maintains a checkout system for Instructors and Program Assistants and ensures that all materials are returned in a timely manner. Prepares a complete and updated inventory of all academic materials that go into storage during the final days of the program.
  11. Transports and provides academic support materials, making them available on the campus to instructors and students, as requested.
  12. Assists the Academic Dean in planning and hosting faculty meetings throughout the program.
  13. Assists the scheduling of the Academic Dean’s classroom observations for all Instructors and classes.
  14. Assists the Academic Dean in compiling and inputting all student objectives into the Student Performance Review (SPR) management database for each class.
  15. Assists with entering Student Performance Reviews (SPRs) into SPR management database from information provided by Instructors, as instructed by Academic Dean or Director.
  16. Assists the Academic Dean in compiling reports and monitoring completion of the Student Performance Reviews (SPRs) from all instructors.
  17. Utilizes the Campus Management System (CMS) for student, academic, and operational information and reports.
  18. Interacts with students on a regular basis to ensure that their individual academic, social, and emotional needs are met.
  19. Assists with opening and closing the overall program, academic supplies, and the office.
  20. Assists Director and Academic Dean with program’s Closing Ceremony and coordinates a Product Open House for all courses with Instructors for parents on the last day of the program.
  21. Mail requested academic resources/books back to SIG Central at the end of the program.
  22. Provides administrative support for copying materials, data input, creating spreadsheets, writing correspondence or processing information as requested.
  23. Assists with electronic files and reports in academic areas.
  24. Acts as substitute teacher in the event of an Instructor absence (if qualified).
  25. Additional duties as assigned.

Terms of Employment

  1. Starting salary is $1,300 pre-tax for a three-week period.
  2. Lodging is not provided for day programs and staff are expected to commute daily.
  3. Employees pay their travel to and from program locations.

Essential Characteristics of an Academic Assistant

  • Ability to move, or push objects by using hands and arms to install or position materials up to 40 lbs.
  • Ability to sit, stand, and walk for prolonged periods of time to perform general operations.
  • Work with various office equipment including, but not limited to: cell phones, walkie-talkies, computers, recreational equipment, photo copiers, fax machines, or scanners.
  • Ability to demonstrate speech clarity and recognition by speaking frequently for long periods of time to students, parents, faculty, SIG staff while conveying detailed and important information.
  • Monitoring the health and safety of others by scanning large areas at both night and during the day.
  • Ability to live and work potentially without air conditioning during hot and humid summer months for days on campus.
  • Maintain constant contact with others by interacting with staff and students and within dorm living situations, campus facilities.
  • Be able to work 24/7 shifts to anticipate unexpected situations or assist during emergency operations.
